Buying Rental LED Screens from China: A 7-Point Factory Checklist
By LEDSEER Team · Published · Updated

Most rental LED screens sold worldwide are made in Shenzhen. Buying direct from a factory saves money, but the quality of the screen and the support after delivery depend on what you check before you pay. This is the checklist we suggest to rental companies and event producers buying from China — including from us.
1. Confirm the exact specification, not just the pitch
Two “P3.9 rental screens” can be very different products. Ask for a specification sheet that states:
- Exact pitch (3.91 mm, not “about 3.9”)
- LED package (for example SMD2121 indoor or SMD1921 outdoor) and scan mode (1/16 for P3.91)
- Module size and cabinet size (250 × 250 mm modules in 500 × 500 / 500 × 1000 mm cabinets is the rental standard)
- Brightness (about 1200 cd/m² indoor; 3500–5000+ cd/m² outdoor)
- Refresh rate (3840 Hz standard; 7680 Hz if the screen will be filmed)
- IP rating (IP65 front and rear for outdoor rental)
Our rental specifications are published in full on the rental LED display page.
2. Ask how every screen is tested
A good factory tests the complete screen, not just samples. Before packing, we age modules on the rack and record the results for each order, power on and check every cabinet, and light up the full wall to check brightness and colour uniformity. Ask your supplier for photos or a video of your screen under test before the balance payment.
3. Check the spare parts list
Spare parts decide whether a show goes on when something fails on site. A complete order should include spare modules, LEDs, driver ICs, power supplies, receiving cards, power and signal cables, and the hanging bars and connection kits needed to build the wall. Ask for the spare list in the quotation. For example, our Colombia order shipped with 4000 spare LEDs, 20 receiving cards, 20 power supplies and 60 spare modules for a 154 m² screen.
4. Agree packing and shipping
- Flight cases for rental screens that move every week; wooden crates are cheaper for one-way delivery.
- Container loading: ask for photos of the loaded container, so you have a record of how the goods left the factory.
- Lead time: our standard production time is 10–15 days; add sea freight time to your destination.
5. Understand warranty and certificates
Ask what the warranty covers and for how long, and whether the factory sends replacement parts or expects you to buy them. LEDSEER offers warranty of up to 5 years depending on the product. For import, check the certificates your market needs: our production is ISO 9001 certified and our products are CE and RoHS compliant.
6. Agree payment terms that protect both sides
A common structure for factory-direct LED orders is a 30% deposit to start production and the remaining 70% before shipping, after you have seen the test photos or video. Avoid paying 100% before production starts.
7. Visit the factory or ask for a video inspection
A real manufacturer can show you its SMT line, assembly area, ageing racks and test walls. If you cannot travel, ask for a live video call from the production floor. Our factory is in Bao’an District, Shenzhen, and we welcome visits.
